A good ECM system will have the following features, said Bruce Silver
of Bruce Silver Associates, a content and process management advisory
firm.
- Consistency across content types and sources. All items relating
to a particular topic can be searched and retrieved through a single
interface, including e-mail, word processing documents, and scanned
images.
- Lifecycle support. ECM software ensures consistent version
control and lifecycle management through direct integration with authoring
applications, check-in/checkout and approval procedures, access control,
and audit logs.
- Workflow. Workflow automation is a built-in feature of most
ECM software, automatically triggering a business process whenever a
document is added, modified or declared as a record.
- Efficient storage management. ECM allows efficient storage
of large volumes of record data on a choice of media as demanded by
the particular application.
